Position Description:
• Provide secretariat support to the Director’s committee involvements including assembling and distributing meeting papers and agendas, booking venues, organising catering, taking minutes and maintaining records
• Manage the Director’s diary including meeting request prioritisation, confirmation and any follow-up
• Manage the Director’s travel and accommodation arrangements and accessibility requirements
• Support Regional Arts Victoria Board members’ travel, accommodation, document and information requests and requirements, and attend and minute board meetings
• Lead information management systems, maintain relevant policy and procedures, and advise all staff on record-keeping compliance
• Undertake research as directed, and create clear and concise reports on research
• Administer and coordinate Regional Arts Victoria projects led by the Director
• Represent the Director at internal and external meetings as may be required from time to time
• Provide administrative support to the Director, and within Regional Arts Victoria as required.

3. Strong planning and time management skills, with the ability to work independently and take direction as required
4. Superior relationship management capabilities including a confident phone manner, strong interpersonal and negotiation skills, and excellent verbal communication skills
5. Excellent computer literacy including advanced skills in Microsoft Outlook, Word, Excel and Powerpoint, as well as social media writing and engagement skills
6. Demonstrated ability to maintain a high degree of attention to detail while managing competing tasks
7. Highly developed ability to take initiative in identifying needs and solving problems
8. Proven experience in project management including research, planning, monitoring, documenting and evaluating projects
9. Empathy with the goals and philosophy of Regional Arts Victoria
10. Current Victorian driver’s license and a history of safe driving.
